Here are just some of the advantages of using Exchange:

1 BETTER RELIABILITY: First you should know that for Outlook users, “Exchange” is Microsoft’s premium email solution and Outlook is programmed and designed specifically around using Exchange – Microsoft has invested more time into making Outlook as bug free as possible with Exchange. Thus, Exchange is the most reliable solution when it comes to using Outlook.

2 NO MORE DUPLICATE HANDLING OF OUTLOOK AND MAIL: All of your e-mails, contacts and calendars, tasks, etc. stay in sync between your computers and smartphones such as your iPhone, other smart phones, like Blackberry, Palm.

What this means is your Inbox will be the same on all devices, you reply to an e-mail and your Sent folder on both your device (phone or iPad) and Outlook will have the sent item. You delete an e-mail in one location and it will also be deleted on the other device too and sent to your Deleted items folder – no more needing to delete it twice or three times in some cases – cutting out wasted time and confusion!

Your Outlook subfolders will show up on all devices and Outlook and you’d only need to file the e-mail once, then it will be available in that same folder on all devices. This will cut out the added time and lost productivity of having to search for sent items in multiple locations if you answered your e-mail on one of your devices other than Outlook as the sent items on your smartphone get filed in your phone’s Sent folder, or having to go through loopholes to file stuff from your smart phone in your Outlook e-mail subfolders.

Additionally, for Contacts and Calendars – let’s say you are interviewing someone in person and decide to add their contact info to your iPad or smartphone and also add a calendar item to schedule another appointment on your smartphone. This is immediately sync’d to your Outlook and any other device. So when you go back to your computer and use Outlook, their contact details and the scheduled appointment is already in your Outlook. You then meet with the person and decide to remove the scheduled item from your Outlook Calendar, this is immediately removed from your phone and any other Outlook or device.

3 ACCESS FROM ANYWHERE: Outlook is directly accessible from the web browser. What if you’re not behind your computer with Outlook setup and you don’t want to use your small screen on your mobile device, you can log into “Outlook Web Access” on your web browser – THIS LOOKS JUST LIKE OUTLOOK and will have all of your Outlook data just like it is on your computer Outlook, including subfolders and files, contacts, etc. Normal webmail will only show what’s currently in your inbox and that’s it.

4 BACKED UP E-MAIL, CONTACTS AND CALENDARS: Because all of the information is essentially stored on the Exchange Servers in datacenters, all of your e-mails, contacts, calendars and tasks are backed up online at all times. If your laptop were to die, you could just install Outlook on another computer, setup the Exchange account and all of your inbox, subfolders, contacts, etc. would just download and look just like it did before – or as per above, you can just login to your webmail and see all of your information online.

5 CENTRALIZED HANDLING OF JUNIOR MAILBOXES: Be able to see other people’s inboxes (or full e-mail structure, i.e. saved folders, sent, deleted, etc.) underneath your email folder. Let’s say you have several people that need to see emails that go to support@abc123.com. Instead of individual copies of emails going to 5 different people’s inbox, clogging it up, they each can viewsupport@abc123.comand the appropriate or first available employee can handle and it will show as handled. Of course you can have this setup in tangent with copies of the e-mails still going to certain mailboxes if that’s what is wanted.

6 ENCRYPTED E-MAIL: All e-mails sent within the organization are fully encrypted and so are secure.

7 SHARE MAIL FOLDERS, CALENDARS OR CONTACT GROUPS: You can create new calendars, contact lists or e-mail folders and share them between anyone in the organization and create different permissions for different personnel if you don’t want them to delete items but just view them. This means multiple people can share emails, or look at one calendar and stay coordinated, share contact info, etc.
